Office injuries develop slowly - and are often preventable
Musculoskeletal disorders (MSDs) among office workers rarely result from a single incident. They accumulate over months and years of repeated exposure to small ergonomic stressors - a monitor positioned slightly too low, a keyboard that's just out of reach, a chair that isn't quite right for the person sitting in it.
By the time an employee reports pain or discomfort, the exposure has typically been ongoing for a long time. ETC's office evaluations are designed to identify and correct these risk factors before they become injuries - protecting your workforce and reducing the workers' compensation and productivity costs that follow.
Every evaluation is performed on-site, at each employee's actual workstation, by an ergonomist who works directly with the individual to understand their tasks, symptoms, and setup.
Common office ergonomic risk factors
These exposures - particularly when sustained over long periods or occurring frequently - significantly increase an office worker's risk of developing a musculoskeletal disorder:

How an office ergonomic evaluation works
Each evaluation is conducted at the employee's own workstation - not in a conference room or on a generic setup. The ergonomist spends approximately 60 minutes with each individual, allowing multiple workstations to be assessed in a single day.
-
1
Observe and discuss
The ergonomist observes the employee performing their typical work tasks and conducts a structured interview to establish rapport and understand their specific concerns, symptoms, and task demands.
-
2
Adjust existing equipment
The ergonomist adjusts all adjustable elements of the workstation - chair, monitor, keyboard, mouse, desk surface, and accessories - to optimize fit for the individual employee's body dimensions and tasks. The employee is shown how to make these adjustments independently.
-
3
Document equipment issues
Broken, worn, or ergonomically inadequate equipment is identified and documented for procurement or replacement. Where equipment limitations cannot be resolved through adjustment, specific product recommendations are provided.
-
4
Photograph postures
Before-and-after photographs are taken to document both problematic postures and the corrected setup, providing a visual record for the final report and future training reference.
-
5
Develop individualized report
Findings and recommendations for each assessed employee and workstation are compiled into a structured report - specific body region symptoms, task types, accessories, and workstation dimensions are documented for each individual.
-
6
Follow-up
ETC follows up to confirm that adjustments have been maintained, new equipment has been received, and employees continue to apply correct ergonomic practices in their daily work.
Workstation assessment checklist
Every element of the employee's setup is assessed and optimized during the evaluation:
- Chair height, tilt, lumbar support, and armrests
- Monitor height, distance, and angle
- Keyboard position and wrist alignment
- Mouse placement and grip posture
- Desk surface height and layout
- Document holder placement
- Phone and headset configuration
- Task lighting and glare control
- Storage and reach zones
- Secondary equipment and accessories
- Workstation dimensions and adjustability range
- Rest break awareness and micro-break habits
What you receive
Every office ergonomic evaluation concludes with a complete set of documentation and actionable recommendations:
Individual assessment reports
A personalized report for each employee assessed, covering findings, adjustments made, equipment recommendations, and follow-up actions.
Environmental summary report
A facility-level summary of observations across all assessed workstations, identifying systemic issues and common risk factors in the work environment.
Equipment recommendations
Specific product recommendations where current equipment cannot adequately support ergonomic adjustment - with product specifications and sourcing guidance.
Before & after documentation
Photographic record of pre- and post-adjustment postures for each workstation, providing a reference for training and compliance verification.
Workstation layout recommendations
Design and layout improvements for workstations where physical constraints limit ergonomic optimization through adjustment alone.
On-site change log
A complete record of all changes implemented during the evaluation visit, providing an audit trail and baseline for future assessments.
